The Short Version

Look, we get it - nobody really enjoys reading privacy policies. But since you're trusting us with your mountain getaway (and your personal details), we figured you should know what we do with your information. We've tried to make this as painless as possible, promise.

Bottom line? We collect what we need to make your stay amazing, we don't sell your stuff to random companies, and we take security seriously. If you've got questions, just give us a shout at reservations@krythornvale.info

When you book a room or use our services, we're gonna need some info from you. Nothing crazy, just the usual stuff:

  • Personal Details: Your name, email, phone number, and mailing address. Pretty standard stuff for any hotel booking.
  • Payment Info: Credit card details and billing information. We need this to, y'know, actually process your reservation.
  • Stay Preferences: Room type, dietary restrictions, spa appointments, tour bookings - basically anything that helps us customize your experience.
  • Communication Records: Emails, calls, and messages you send us. We keep these to follow up on requests and improve our service.
  • Technical Data: IP address, browser type, device info when you visit our website. It's mostly for security and making sure the site works properly.
  • Photos & Reviews: If you share pics or write reviews about your stay, we might use those (with your permission, of course).

We don't collect anything we don't actually need. And we're definitely not tracking your every move or anything creepy like that.

Here's what we actually do with the info you give us:

  • Process Your Bookings: Can't really run a hotel without this one. We use your details to confirm reservations, send you confirmation emails, and handle check-in/check-out.
  • Improve Your Experience: Remember that room preference you mentioned last time? We keep notes so we can make your next visit even better.
  • Handle Payments: Processing transactions, sending receipts, managing refunds if needed.
  • Send Updates: Confirmation emails, booking reminders, occasionally we'll let you know about special offers or events (but you can opt out anytime).
  • Customer Support: When you reach out with questions or concerns, we use your info to help sort things out.
  • Safety & Security: Protecting against fraud, keeping our guests and property safe, and complying with legal requirements.
  • Website Improvements: Analytics help us understand what's working and what's not so we can make the site better.

We're not gonna spam you or share your info with random marketers. That's just not our style.

Security's a big deal to us. We've put some serious measures in place to keep your information locked down:

  • Encryption: All sensitive data gets encrypted both in transit and at rest. Your payment info especially gets the Fort Knox treatment.
  • Secure Systems: Our servers are protected by firewalls, regular security audits, and industry-standard protocols.
  • Limited Access: Only staff who actually need your info to do their jobs can access it. And they're all trained on privacy practices.
  • Regular Updates: We keep our systems patched and up-to-date to protect against new threats.

Real talk though - no system is 100% foolproof. We do everything we can to keep your data safe, but if something ever does happen, we'll let you know right away.

We're pretty selective about who gets access to your information. Here's the short list:

  • Service Providers: Companies that help us run the resort - payment processors, booking systems, email services. They only get what they need and they're contractually obligated to keep it secure.
  • Tour Partners: If you book a guided tour or activity, we'll share relevant details with those operators so they can prepare for your adventure.
  • Emergency Services: In a genuine emergency, we might need to share info with medical or law enforcement personnel.
  • Legal Requirements: Sometimes the law requires us to disclose information (court orders, regulatory compliance, that sort of thing).
  • Business Transfers: If Krythorn Vale were ever sold or merged with another company, your info would transfer as part of that deal (but the same protections would still apply).

We don't sell your personal info to third-party marketers. Period. That's not how we operate.

Yeah, we use cookies. Not the chocolate chip kind, unfortunately. Here's what's happening:

  • Essential Cookies: These keep the website functioning. They remember things like your booking details as you navigate through the reservation process.
  • Analytics Cookies: Help us understand how people use our site - which pages are popular, where folks are getting stuck, that kind of thing.
  • Preference Cookies: Remember your settings and preferences so you don't have to re-enter them every time.
  • Marketing Cookies: These track whether you came from an ad or promotional campaign. You can disable these if you want.

Most browsers let you control cookies through their settings. You can block them if you want, though some parts of the site might not work as smoothly.

We also use Google Analytics to understand website traffic, but we've configured it to respect your privacy as much as possible.

It's your data, so you've got some say in what happens with it:

  • Correct Mistakes: If something's wrong or outdated, let us know and we'll fix it.
  • Delete Your Data: Want us to delete your information? We can do that (though we might need to keep some stuff for legal reasons).
  • Opt Out of Marketing: Don't want promotional emails? Click the unsubscribe link in any marketing email or contact us directly.
  • Data Portability: You can request a copy of your data in a readable format.
  • Withdraw Consent: If you've given us permission for something specific, you can take that back anytime.
  • Lodge a Complaint: If you think we've mishandled your data, you can file a complaint with the Privacy Commissioner of Canada.

We don't keep your information forever. Here's our general approach:

  • Active Guest Data: While you're a current or recent guest, we keep your info readily accessible to serve you better.
  • Booking History: We maintain records of past bookings for about 7 years - partly for tax and accounting purposes, partly so we can reference your preferences for future stays.
  • Marketing Lists: If you've opted into our mailing list but haven't engaged in a while, we'll eventually remove you.
  • Financial Records: Payment and transaction records are kept as long as required by Canadian tax law.
  • Security Footage: If we have any security camera footage that includes you, it's typically deleted within 30-90 days unless needed for an investigation.

Once we don't need your data anymore, we securely delete or anonymize it. We're not hoarders.

We love having families stay with us, but our website isn't designed for kids to use on their own. If you're under 18, please have a parent or guardian handle the booking and share information on your behalf.

We don't knowingly collect personal information directly from children. If we find out we've accidentally gathered data from a minor without proper parental consent, we'll delete it promptly.

Parents or guardians are responsible for any bookings made for minors, and we'll direct all communications to the adult who made the reservation.

We're based in British Columbia, Canada, and most of our systems are located here too. However, some of our service providers might be based in other countries, including the United States.

If your data is transferred outside Canada, we make sure it's protected by appropriate safeguards - whether that's through contractual agreements, standard data protection clauses, or other approved mechanisms.

Different countries have different privacy laws, and some might not be as strict as Canada's. But regardless of where your data is processed, we maintain our commitment to protecting it according to this privacy policy.

Things change - technology evolves, laws get updated, and we're always looking for ways to improve how we handle your data. So yeah, this privacy policy might get tweaked from time to time.

When we make significant changes, we'll let you know by updating the "Last Updated" date at the top of this page. For major changes, we might also send you an email or post a notice on our website.

We'd recommend checking back here occasionally, especially if it's been a while since your last visit. We'll always be transparent about what we're collecting and why.
